Scope

This notice applies to doublesops.com and to contact made through the form, by email or by phone. Maarten Segers, trading as Double S Operations, is the controller of the personal data processed for these purposes.

02

Data processed

When you contact us, your name, email address, optional organisation, message and subsequent correspondence are processed. The form requires your name, email address and message so that the enquiry can be sent and answered; the organisation is optional. The form also processes the submission time and source page. Phone and email details are processed insofar as necessary to handle the contact.

Hosting and security services may process technical data such as IP address, timestamp, requested page, browser details, HTTP headers and security logs. Do not include sensitive or strictly confidential information in the free-text field unless it is necessary for your question.

03

Purposes and legal bases

Personal data is used to answer your enquiry, discuss a possible engagement and, where applicable, perform a contract. The legal basis is taking steps at your request before entering into a contract or performing that contract.

Business communication, website and form security, abuse prevention and the establishment or defence of legal claims rely on the legitimate interest in safe and normal business operations. Data is also processed where this is required by law.

Personal data is not sold. This website does not use it for profiling, automated decision-making or unsolicited direct marketing.

04

Contact form and service providers

A message submitted through the contact form is sent server-side through Resend to the Double S Operations business mailbox. The data is accessible to Double S Operations and to service providers technically required to host and secure the website and deliver email.

These providers currently include Cloudflare for hosting and security, Resend for the delivery of form messages and the business email provider. They may process data only as part of providing their services and in accordance with applicable data protection rules. Data is not shared with third parties for their own advertising.

05

Retention

An enquiry that does not lead to an engagement is generally deleted no later than twelve months after the last substantive contact. If an engagement, agreement, payment record, dispute or legal obligation arises, relevant data may be kept longer where necessary for performance, accounting, evidence and the applicable statutory limitation or retention periods.

Technical security logs are retained according to necessary security settings and the normal retention periods of the relevant provider, and no longer than needed for security, troubleshooting or abuse prevention.

Cookies and similar technologies

If you choose light or dark mode, we save that preference locally in your browser (localStorage, key dso-theme). The stored value is only light or dark, contains no identifier and is not sent to our server. Your choice remains stored until you change it or clear the website data in your browser. Without a saved choice, the website follows your device display setting.

The website currently uses no advertising or analytics cookies. Cloudflare does set the strictly necessary __cf_bm cookie to recognise automated traffic and protect the website and contact form against abuse. Cloudflare generates this cookie separately for each site; it does not correspond to a user ID or track visitors from site to site.

A strictly necessary cookie does not require prior consent. For that reason, no consent banner is shown. If non-essential cookies or trackers are added later, an appropriate consent choice will be provided first and this notice will be updated.

Transfers and security

Cloudflare and Resend are US service providers and may process data in the United States or elsewhere outside the European Economic Area. Where required by law, this is based on an adequacy decision or appropriate contractual safeguards, such as standard contractual clauses. You can request more information about those safeguards at contact@doublesops.com.

Reasonable technical and organisational measures are used to protect personal data. No internet or email connection can, however, guarantee absolute security.

08

Your rights and complaints

Subject to the legal conditions, you may request access, correction, erasure, restriction or portability. You may also object to processing based on legitimate interests. Send your request to contact@doublesops.com. Reasonable identification may be requested to avoid disclosing data to the wrong person.

You may also lodge a complaint with the Belgian Data Protection Authority. This does not affect any other administrative or judicial remedy.
